This is an exclusive opportunity for DEMA Show exhibitors. Not many trade shows give you the opportunity conduct an informational seminar for attendees on your products and services in a formal educational setting. Lock in your timeslot or room today (exclusive rooms are not available this year). Timeslots and rooms are on a first-come, first-served basis.

To reserve a time or room for a DEMA Show 2008 Exhibitor Sponsored Seminar you must apply online. Click here for the reservation site Apply early, rates are $200 per one-hour timeslot if your reservation is received before July 2.  After July 2, the rate is $300 per one-hour timeslot.

IMPORTANT DEMA SHOW EXHIBITOR SPONSORED SEMINAR INFORMATION

YOU WILL RECEIVE AS MEETING ROOM SET-UP:

  • Combination of classroom & theater style seating to accommodate approximately 75 people.
  • Head table and lectern with microphone.
  • Screen and projector cart only, LCD projector NOT included.  Note: Exhibitors may order and pay for additional audio/visual equipment through the official contractor, SmartSource Rentals, at phone: 781.890.1620 x200.

DEMA SHOW EXHIBITOR SPONSORED SEMINAR POLICY:

  • Seminar space is for DEMA Show 2008 EXHIBITORS ONLY.
  • Only 2008 DEMA members in good standing will be allowed to purchase seminar space.
  • Seminar space is assigned on a first come first served basis in order by date and time of receipt of application.
  • Payment MUST accompany seminar space request.  Applications will not be processed, and seminar space will not be held, without payment.
  • No refunds for cancellations received after September 10, 2008.
  • Meeting rooms are reserved in 60 minute increments that begin on the hour with a 45 minute presentation and 15 minute set up and tear down time.
  • If first preference is unavailable, show management will notify you and assign a time based on availability.
  • Seminar information will be listed EXACTLY as it appears on the application.
  • Confirmation email will be sent once your application has been approved.  Confirmation will include the Session Date, Session Time and Room Number.

SEMINAR SPACE ALLOTMENT:
Exhibitors are allowed to purchase seminar space according to an allotment program corresponding to the amount of exhibit space the exhibitor has contracted in DEMA Show 2008. Only 2008 DEMA members in good standing will be allowed to purchase seminar space. Additional seminar space may be purchased in excess of an exhibitor's allotment according to the following:

  • Exhibitors may reserve up to one hour of seminar time for each 100 square feet of exhibit space at the rate of $200 per hour for any seminar space paid in full by July 2, 2008 and $300 per hour after July 2, 2008. This is the standard seminar allowance.
  • Exhibitors may request up to five additional hours, exceeding their seminar allotment, at the current rate at time of request.

SET-UP AND TEAR DOWN:
It is the responsibility of each exhibitor to incorporate the time needed to properly set up and tear down equipment and displays within the time allotted, without interruption to the next session, to avoid the additional delay charge of $500. 60 minute time blocks include 45 minutes for presentation and 15 minutes for set up and tear down. Exhibitors must remove all equipment, merchandise, displays and other related material from the meeting rooms immediately following their session. DEMA and Show Management are not responsible for securing items in the meeting rooms.

LIABILITY EXCLUSION:
DEMA and Show Management are not liable to the exhibitor, its representatives or employees for any loss or damage to property due to theft, fire, accident or any other causes. DEMA and Show Management are not the sanctioning or sponsoring bodies of these functions. Any payment required for ASCAP/BMI music licensing will be the sole responsibility of the exhibiting company.

FEES FOR SEMINARS:
Show Management encourages free seminar offerings. If you are charging a fee, the pricing information MUST be included in description provided with the application.
